Minutes of the Reunion Meeting of 7 Field Squadron RE held at Ripon on 16th May 2009

The purpose of the meeting was to seek volunteers to fill the various roles necessary to continue  the group and its purposes and the arranging of future events, in particular the annual reunions

Apologies

Henry Day, unable to attend due to prior commitments but wishes to be kept informed of future events

Ron Wakeford unable to attend due to illness, best wishes to Ron from all present

Taff Roberts unable to attend due to breaking down in France

Webmaster

Nominated and voted in unanimously as webmaster Bob Blakey.

Bob informed the meeting that the site would continue for the moment on Freewebs but he is looking at other options and this may change.

 

Recruitment Officer

Alan (Spud) Taylor volunteered and was voted for by the majority of those present. Monies should be allocated to pay for search sites used to find old comrades; this should come from the voluntary contributions discussed in the following entry. Spud suggested that he will need a nominal roll of those comrades already contacted and suggested that he would prepare and set up a search form, co-ordinating this through the Webmaster. The Webmaster agreed that he would allow editing facilities to the Recruitment Officer for this purpose. Spud warned that due to teaching commitments he was not likely to have things fully in place until after 13th July 2009.

Financial Officer

Chris Ellis was nominated and voted into the position of Financial Officer. It was suggested and agreed that income, for the regular operations of the group, should be raised through voluntary contributions and that this amount should be set at £10 per annum. A discussion followed about how these payments could be made. It was agreed that, initially, members should send cheques to Chris Ellis.

Other methods were discussed, such as setting a payment system on the Website but it was felt that this could be insecure. It was agreed, through a consensus, that Chris should be solely responsible for all financial decisions relating to how these monies should be used to the benefit of the group.

Organisation Name

An open discussion was held to determine a suitable name for the group that reflected its past and its relationship to other RE

organisations. Numerous suggestions were discussed and a final vote decided that the name of the group should now be

Future Event Organisers

The events committee consists of the following volunteers:

Format and future venues

After a lengthy discussion it was decided that a committee should be set up to organise the reunion event for 2010. Volunteers with some experience and a desire to work to get the right venue and best deal for the event were asked for and these are listed above. Bill (Geordie) Tate was voted in as the organising chairman due to his experience in organising similar events.

He addressed the group suggesting some dates, April/May 2010 were times when the best deals were available, this was agreed. He also suggested that ‘all in’ room prices could be around £100 per room and this was deemed reasonable. He indicated that once the venue and prices had been agreed that those attending should pay their monies by a pre-determined date as a sign of commitment to attending, this would ensure the event took place and that bookings could be made well in advance. Areas would be investigated for best deals and the committee would agree the best location, the decision made by the organising committee would be final for 2010. Post-2010 events would be decided by the events committee elected at the 2010 meeting.

The above was all agreed by a consensus.

Collection

A collection was made to ensure sufficient funds were available for Special Purposes. Bill (Geordie) Tate holds the monies collected and will use the fund as and when applicable, requesting more donations as and when necessary.

Presentations

A presentation was made to the current 7 Field Squadron, presently 7 HQ Squadron RE. The Squadron OC and SSM were presented with mementoes of the old Shiney 7, various speeches were made and Geordie Tate did a very honourable thing by returning, to 7 HQ Squadron, a framed picture he has rescued from loss or destruction many years previously. 7 HQ Squadron OC was duly impressed.

Regrets for absent friends were expressed and hopes that more ‘old boys’ would be at the meeting in 2010.

There being no further business the meeting was closed.
